Unraveling the Complexities of Surgical Tools

Surgical instruments are crucial to positive patient outcomes; however, hospitals face a myriad of challenges, including misidentification, mispacking, and misplacement of instruments. Such issues can lead to delayed surgeries, jeopardized patient safety, and complicate infection control measures when only generic pack codes are available. Without the ability to accurately track which instruments were used on each patient, hospitals are hampered in their efforts to conduct root cause analyses for infections. Aware of these significant risks, the development team took it upon themselves to create a transparent, tech-driven solution.

Leading the Charge in Innovation

Launched on November 18, 2022, this advanced tracking system assigns each surgical instrument a laser-engraved QR code—measuring just 2mm by 2mm. Each QR code links to an extensive database filled with detailed metadata, including the instrument’s name in both Chinese and English, model number, dimensions, images, videos, country of origin, health ministry permits, and user manuals. This evolving inventory system is accessible to 655 hospital staff members, aiding in training and safe identification practices.

Staff can simply scan the QR codes during tray assembly to confirm each instrument’s correct placement. If any item is found to be misplaced, the system promptly flags the error and provides the correct tray configuration. This proactive approach virtually eliminates packing errors. Moreover, sterilization and culture test results for each tray batch are diligently scanned and entered into the system, ensuring that only thoroughly sterilized equipment is used in the operating room. After surgeries, the tray barcode is linked directly to the patient’s medical record, thereby creating a foolproof traceability chain.

Staggering Results and Unmatched Efficiency

From November 2022 through June 2024, the UDI system successfully cataloged an impressive 14,453 surgical instruments, during which a total of 179,620 trays were assembled—without a single packing error. Staff reported remarkable time savings, with the average tray equipping time plummeting from 600 seconds to a mere 180 seconds. This newfound efficiency not only accelerates operating room turnover but also eases the training requirements for new personnel.

Crucially, the traceability feature of the system has proven critical. It effectively linked 580,922 instruments to individual patient medical records. This groundbreaking advancement in documentation allows infection prevention teams to swiftly investigate and address surgical site infections, thus significantly enhancing patient safety standards.
